Microsoft Outlook is the full-featured email client included with every Microsoft 365 subscription, and it's one of the most powerful ways to manage your email, calendar, and contacts in one place. Whether you're accessing it through the desktop app on Windows or Mac, or using Outlook on the web at [outlook.office.com](https://outlook.office.com), this guide walks you through everything you need to get up and running quickly.

<Note>
  Your Outlook account type matters. A personal **@outlook.com** or **@hotmail.com** address is a free Microsoft account, while a **work or school account** (e.g. `you@yourcompany.com`) is managed by your organization through Microsoft 365 Business or Education. Some features — like shared mailboxes and meeting room booking — are only available on work/school accounts.
</Note>

## Adding Additional Email Accounts

You're not limited to one email account in Outlook — you can manage multiple accounts from a single inbox view. Here's how to add popular account types:

<CardGroup cols={3}>
  <Card title="Gmail" icon="google">
    Outlook connects to Gmail using OAuth (secure sign-in). Go to **File → Add Account** (Windows) or **Preferences → Accounts** (Mac), enter your Gmail address, and sign in through Google's own sign-in page. No password is stored in Outlook.
  </Card>

  <Card title="Yahoo Mail" icon="envelope">
    Yahoo requires you to generate an **app password** in your Yahoo account security settings first. Then add it as an IMAP account in Outlook using `imap.mail.yahoo.com` (port 993) and `smtp.mail.yahoo.com` (port 587).
  </Card>

  <Card title="Other IMAP/POP" icon="server">
    For any other email provider, select **Manual Setup** in the Add Account wizard and enter the incoming (IMAP/POP3) and outgoing (SMTP) server details provided by your email host.
  </Card>

## Configuring Your Email Signature

A professional email signature makes a great first impression. Setting one up takes only a minute.

* **Windows:** Go to **File → Options → Mail → Signatures**. Click **New** to create a signature, give it a name, and type your signature in the editor. You can choose a default signature for new messages and replies/forwards separately.
* **Mac:** Go to **Outlook → Preferences → Signatures**. Click the **+** button to add a new signature, type your content, and assign it to an account.
* **Outlook on the Web:** Click the **Settings gear (⚙)** in the top-right corner, search for **"Email signature"**, and toggle on **Automatically include my signature on new messages**.

<Tip>
  You can use rich formatting in your signature — bold your name, add a logo image, or include clickable hyperlinks to your LinkedIn or company website. On Windows, the Signatures editor supports HTML formatting via the toolbar.

## Setting Up Out of Office / Automatic Replies

When you're away from work, Automatic Replies let people know you're unavailable and when to expect a response.

* **Windows (work/school account):** Go to **File → Automatic Replies (Out of Office)**. Toggle **Send automatic replies**, set a date range if needed, and write separate messages for senders inside and outside your organization.
* **Mac (work/school account):** Go to **Tools → Automatic Replies**, toggle the feature on, set your date range, and enter your message.
* **Outlook on the Web:** Click the **Settings gear (⚙)** → **View all Outlook settings → Mail → Automatic replies**. Toggle on automatic replies and customize your message.

<Note>
  The Automatic Replies feature is only available for **Microsoft 365 work or school accounts** (Exchange-based mailboxes). If you're using a personal `@outlook.com` account, you'll find this option in the web version under Settings.

## Organizing Your Inbox With Folders and Rules

Keeping your inbox tidy saves time and reduces stress. Outlook gives you powerful tools to automate organization.

**Creating Folders:**
Right-click on your inbox in the left panel and select **New Folder**. Give it a name (e.g., "Projects", "Newsletters", "Finance") and drag emails into it, or set up rules to route emails automatically.

**Creating Rules:**

* **Windows:** Go to **Home → Rules → Manage Rules & Alerts → New Rule**. Choose a trigger (e.g., emails from a specific sender), then choose an action (e.g., move to a folder, mark as read, flag for follow-up).
* **Mac:** Go to **Outlook → Preferences → Rules**, click **+**, and define your conditions and actions.

***

## Setting Up Focused Inbox

Focused Inbox uses AI to automatically sort your most important emails into the **Focused** tab, and less important ones into the **Other** tab. This keeps your attention on what matters most.

* **Windows/Mac:** Click the **View** menu and toggle **Show Focused Inbox**.
* **Outlook on the Web:** Click the **Settings gear (⚙)** → **View all Outlook settings → Mail → Focused Inbox** and toggle it on.

Over time, Outlook learns from your behavior. If an email lands in the wrong tab, right-click it and choose **Move to Focused** or **Move to Other** — Outlook will remember your preference for future messages from that sender.

## Frequently Asked Questions

<AccordionGroup>
  <Accordion title="Can I use Outlook without a Microsoft 365 subscription?">
    Yes, in a limited way. You can use **Outlook on the web** at [outlook.com](https://outlook.com) for free with a personal Microsoft account (@outlook.com, @hotmail.com, @live.com). However, the full **Outlook desktop app** requires an active Microsoft 365 subscription (such as Microsoft 365 Personal, Family, or Business). Without a subscription, the desktop app runs in reduced functionality mode after a trial period and won't allow you to send or receive new email.
  </Accordion>

  <Accordion title="How do I add a Gmail account to Outlook?">
    On Windows, go to **File → Add Account**, enter your Gmail address, and click **Connect**. Outlook will redirect you to Google's sign-in page — enter your Gmail password and grant Outlook permission to access your account. On Mac, go to **Outlook → Preferences → Accounts**, click **+**, select **Google**, and sign in. No additional configuration is needed; Outlook uses OAuth for secure Gmail access, so your Google password is never stored in Outlook.
  </Accordion>

  <Accordion title="Why is my email not syncing?">
    There are a few common causes: (1) **No internet connection** — check your network. (2) **Offline mode is enabled** — on Windows, go to **Send/Receive → Work Offline** and make sure it's toggled off. (3) **Sync settings** — on mobile, open the app settings and check that Background App Refresh is enabled. (4) **Account credentials expired** — Outlook may need you to re-enter your password; look for a yellow warning banner at the top of the app. If none of these help, try removing and re-adding your account under **File → Account Settings**.
